GST billing & invoices

• Tax invoice with your GSTIN, party GSTIN, HSN per item, taxable value, tax per item and per bill, round-off, total in words (lakh / crore).
• Taxes are named rates you define — CGST 9 %, SGST 9 %, IGST 18 %, Cess — applied per item or on the whole bill; the invoice shows a tax breakdown.
• Item-wise discount in % or ₹, bill-level discount, free quantity (schemes), MRP and rate per item, non-stock free-text lines.
• Walk-in (cash) customers without creating a party; delivery confirmation that holds stock until the goods leave.
• Collect payment while billing — partial / paid / due with the account and reference (UPI, cheque no.) printed on the bill.
• Numbered per financial year: INV/2026-27/00001. Back-dated bills take the number of their own year.
• Billing address book per party, terms & conditions clauses, notes, invoice date control.

Keyboard-first operation

• Enter moves through party → items → qty → rate → discount → tax → payment → save; Esc goes back; F2 party, F3 new line, F4 bill discount, F5 save & approve, F6 draft, F8 save & new.
• Type-to-search pickers for parties, products (by name, SKU or barcode) and taxes; chips for multiple taxes and terms.
• Ctrl+1…0 jump to every screen; every list searches with Ctrl+F, filters with the panel, pages with the keyboard.
• Required fields are checked as you press Enter, with a message under the field — no pop-ups to dismiss.

Stock & products

• Products with SKU, barcode, HSN, category, brand, unit, sales rate, MRP, default discount and taxes, minimum stock.
• Purchases add stock (quantity + free quantity); approved sales take it out — immediately or when marked delivered.
• Sales returns put stock back; purchase returns take it out; manual adjustments with a reason and history.
• Low-stock and out-of-stock views; billing warns when a line exceeds stock but never refuses the sale.
• Product ledger: every movement with the document, quantity and running stock.

Parties, ledger & outstanding

• Party master with shop name, mobile, GSTIN, PAN, address, area, route, city, state, PIN, credit limit, credit days, opening balance, default discount.
• Assign a party to one or more salesmen — each salesman sees only his parties on the phone.
• Party ledger: opening, bills, payments, returns, refunds — running balance, printable.
• Outstanding = opening + approved bills − approved payments − approved returns; outstanding and overdue reports by party, salesman, route.
• Duplicate-name guard, GST / non-GST parties, inactive parties kept for history.

Payments & collections

• Cash, UPI, cheque, NEFT, RTGS, bank transfer with reference; the account follows the mode (cash account / bank account).
• Allocate a payment to one or more bills; part payments; the bill shows Paid / Partial / Due.
• Receipts numbered RCT/2026-27/00001, printable and shareable on WhatsApp.
• Collection report by salesman, account and date; accounts report with in / out per account.
• Import payments from Excel with a sample workbook; export the list to Excel or PDF.

Purchases, suppliers & returns

• Supplier master, purchase bills with supplier invoice number, taxes, discounts and free quantity.
• Supplier payments and payable tracking; purchases report by supplier and period.
• Sales returns (credit notes, SRN/…) and purchase returns (debit notes, PRN/…) against a bill or standalone, with optional refund or money received back recorded automatically.

Reports & GST

• Sales report (by day, party, product, salesman), collections, outstanding, purchases, accounts, tax report, GST report with HSN summary.
• Dashboard: today and month revenue, collections, outstanding, approvals waiting, device status.
• Every report filters by date range with presets (today, this month, this FY, last FY) and exports to Excel and PDF.

Excel import & export

• Import parties, products, invoices and payments from .xlsx or .csv with a downloadable sample; every row is checked before anything is saved; duplicates are skipped.
• Export any list — parties, products, invoices, payments, reports — as a real Excel workbook or a PDF.

Printing & WhatsApp

• A4 invoice and receipt PDFs with your logo colour, block order, bank details and UPI QR; hide or reorder blocks from Settings with a live preview.
• Share on WhatsApp from the desktop (WhatsApp app or WhatsApp Web) or from the salesman's phone.
• Indian scripts render correctly on the PDF — Hindi, Gujarati, Marathi, Tamil, Urdu party and product names.

Salesman mobile app (Android)

• Pair by scanning a QR code on the desktop; the phone is tied to the device record, a lost phone is revoked in one click.
• Offline parties, products, prices, stock, outstanding and ledger for the salesman's own parties.
• Take orders with item-wise discount and taxes exactly as the desktop would bill them; collect payments; share invoices and receipts on WhatsApp.
• Everything syncs over Wi-Fi or hotspot to the desktop, where it waits for approval — or is approved on arrival for trusted employees.
• Username + password sign-in, app lock PIN, encrypted database on the phone.

Employees, roles & security

• Roles: administrator, billing operator, inventory manager, accountant, sales manager, salesman — with per-user permissions.
• Approvals: nothing from a phone counts until the desktop approves it. Who created, approved, edited and delivered each document is recorded.
• Passwords hashed with Argon2, encrypted mobile database, paired devices with hardware binding.

Backups & peace of mind

• Automatic daily backup, encrypted with your passphrase; keep it on a pen drive or upload to our private backup server.
• Restore on the same or a new PC in minutes; paired phones keep working.
• Your business data never leaves your PC unless you choose online backup — and even then only sealed files are stored.
